Part 2: The Tour Route Library

The Route Library is your central location to organize your Tour Operator account routes. Add tags for organization, and manage route visibility all from a single page.
 
When you first set up your Tour Operator account, we will happily transfer over all of your existing routes from an established account or group so that all existing routes and URLs to the routes will remain intact.

The Route Library

The Tour Operator account acts like a separate account, so you will have to sign into the Tour account to plan and edit routes, add routes, and add tags.

 

Click sign into club.

The top of the menu will turn yellow to signify that you have signed in as the Tour account. Only an approved route manager will ever see this option.

Route Managers can click sign into club account (manage routes) to start making any changes additions to the route library.

The top toolbar on the website will turn yellow to signify you are signed in with your Tour account.

Click sign out while the toolbar is yellow to return to your personal account.

If the toolbar is grey, then you are signed in with your personal account.

 

There are many options for sorting and filtering routes. Click on any of the header columns to sort by that attribute. Click the column header again to reverse the sort order. Enter a tag, name or location to further filter. Use the distance and elevation sliders to narrow your search based on those parameters.

Route Privacy

Routes in the Tour account library can have their own privacy settings. Only a route manager will have access to these options.
  • Public - Anyone, including members and non-members, can view these routes.
  • Club Members - Only members of the Tour account can see these routes.
  • Route Managers - Only members with the ability to "Manage Routes" will see these routes.

 

Tour routes can be visible to the public, only to route managers, or only to Tour account members. To set privacy settings for your Tour routes, log in to your Tour account and scroll down to the Route Library. Select the routes you wish to adjust.

Once you've selected the routes you wish to adjust, click "set privacy" at the bottom of the Route Library. Select the desired privacy level from the menu that appears, and click save to apply the setting to the selected routes.

Add Routes to your Tour Account Library


What good is a Tour account if you don't have any routes to share with your tour participants? Here are a couple of ways to add routes to your Tour route library.

 

If you have a route on another account (for instance your personal account or the account of a staff member) that you would like to add to your library, follow these steps. You can copy routes from your personal account or while logged into the Club Account:
  1. Bring up the route you want to add to your Tour account library.
  2. In the left side panel, click More > Copy to My Routes. You can optionally change name and permission on the following screen
  3. Select the organization you want to add the route to under the Account dropdown. You will only see this if signed into your personal account.
  4. Click Copy to My Routes to finish.

 

Saving routes to the Tour Account Route Library


Approved route managers can work on routes in their personal accounts and then save them to the Tour account. To do this, create or edit your route and then follow these steps:

  • Click the Save button in the upper left corner.
  • When the prompt for a route name and more details pops up, go to the drop down list for Account and select your Tour Operator Account from the list.
  • Click Save one last time to finish.

 

Planning Routes From Your Tour Account

Administrators and route managers can log in to the Tour account and use the route planner to plan routes to be saved directly into the Tour account Route Library:

  1. Sign in to the Tour account.
  2. Click the Plan link in the yellow menu bar at the top of the screen to open the route planner.
  3. Plan your route and click save.
  4. Your route will be saved into the Tour account Route Library.
 

Save Routes to Tour Account Events


Route managers are able to save routes to existing Tour Account events, or create a new event with this route save to the Tour Account, all while signed into their personal account. To save a route to an event in the Tour Account, follow these steps:

  • Click Save in the upper left corner.
  • When the prompt for a route name and more details pops up, go to the drop down list for Account and select your Tour Operator Account from the list.
  • Click Organize in Events, then select which event you'd like to save this route to. If you'd like to create a new event from the save form, click New Event.
  • Click Save one last time to finish.

 

Tagging Routes

From the Route Library

You can use multiple tags to organize routes and allow Tour Operator account members to quickly search and filter routes.
  1. Select the routes you wish to tag.
  2. Click set tags
  3. In the Route Tags field, type in the desired tag or click to show the list of available tags.
  4. After you have typed a tag, press enter to complete the tag. It will appear in a small box.
  5. Repeat these steps to add additional tags to the same route.
  6. Click the add tags button to finish adding the tag to the route or click remove tags to remove the tag from the route.

 

While Saving a Route

You can also add and edit tags on a route while saving the route.
After you have added tags, you can further sort your routes by clicking filters. This will allow you to sort by tags, minimum or maximum distance, minimum or maximum elevation, route name, and location. You can add multiple tags to further filter your routes and better organize large route libraries.

Archive Routes

Routes can be archived from the route library. These routes will not be visible to tour account members for viewing on the web, or for downloading and navigating on the app. These routes can be added back into the route library for use by members. Only a route manager will have access to these options.
  1. Select the routes you want to archive by clicking the checkboxes adjacent to their names.
  2. Click Archive at the bottom row beneath route table.
  3. View your archived routes by clicking View Archived Routes in upper right.
  4. Routes can be unarchived with these same steps from the View Archived Routes page.

 

Set Official PDF

With the organization account, you can set an Official PDF so your riders can download a customized PDF map with a click of a button.
  • Click Print PDF from any of your organization’s route pages

Configure your desired settings and click Set as Official PDF.

Riders will be able to download your Official PDF directly from the event page and from the route page.

To remove your Official PDF settings, click Remove Official PDF.

 

Export CSV

Click export csv to download a full list of all your Tour account routes. These can then be imported into your favorite spreadsheet program.
You can also export a full list of all your Tour account members. Click export csv in the upper right corner of the member list.

Open or import your CSV into your chosen spreadsheet program, such as Google Spreadsheet, Apple Numbers, or Microsoft Excel.

Route Locking

Tour Account admins are able to lock routes to prevent any changes from being made until the routes are unlocked. Lock routes can not be edited or deleted until they are first unlocked and only admins have the ability to lock or unlock routes.
Locking Routes
  1. Check the boxes to select which routes to lock.
  2. Once selected, click Lock.
  3. Now that the routes are locked, no changes can be made without first unlocking the route.

 

Unlocking Routes
  1. Check the boxes to select which routes to unlock.
  2. Once selected click Unlock.
  3. Now the routes are unlocked and may be modified by club member with Route manager privileges.

 

If viewing a locked route, you’ll see the lock icon prepended to the route name. Note that the option to Edit is not available, even while logged into the account as Route Manager.

Route Changelog

You can also view the edit history of all of your individual Tour account routes, including date and route managers.

  1. Sign in as the Tour account
  2. Click Route Library
  3. Click on the i icon next to the route you want to view. If the route is locked as lock icon will appear.

 

This will expand a pop-up box listing the revision history for that specific route, in addition to the privacy settings, events, and tags associated with the route.
When route managers are saving changes to a Tour account route, they can leave a Changelog note that describes the changes and why they were made.

 

This option does not appear when saving routes to a personal account.

Click More Options in the save dialog to reveal this text box.

 

Change Location of Routes

Anyone with the ability to sign-in as the Tour account can change the starting location of a route. This is handy if you want to specify the neighborhood or landmark of the start of the ride rather than the default city.
  1. Sign in as the Tour account and view route library.
  2. Click the selection box for the routes you want to change.
  3. Click the set city button at the bottom of the list.

 

POI Library

Adding POI to the POI Library

  • Sign in to the Tour account.
  • Click POI Library on the navigation bar.
  • Click Add POI to bring up a pop up where you will select your POI location and enter information.

 

  • Place your POI by clicking on the desired location on the map. Use the + and - buttons to zoom in or out on the map.
  • Once you've placed your POI, select a POI icon from the list that appears. Then, add a POI name, description, URL, photos, and tags.You can drag the POI to reposition it on the map or click it once to see the available POI icon types.
  • Click Save to save your POI.

 

You can edit a POIs at any time by clicking the edit button from the POI library.

 

You can also add POI to the POI Library from the route planner. When you click Drop POI and select a location on the map, you'll see the option to add to POI Library at the top of the POI modal that appears.

Add POI to Routes

You can add one or many POIs to one or many routes all at the same time. To do this:

  1. Check the box next to one or many POIs that you want to add to a route or multiple routes.
  2. Click the add to routes button below the POI library
  3. Start typing the name of a route you want to add POI to. When it appears, click it. Repeat this process for each route you want to add the POI to.
  4. When all desired routes have been selected, click the Add To Routes button and all selected POI will be added to all selected routes

 

To remove POI from a route or routes, follow the same steps except use the Remove From Routes button.
 

Combine POI

Do you have duplicate POI in your POI Library? Use the Combine option to consolidate by merging them into one POI and retain their place on their associated routes.
Select the POI you want to merge into one, then choose Combine at the bottom row beneath the POI Library table. From the merge modal, choose the POI at the top which you'd like to retain as the main POI. The non-selected POI will be replaced with the selected POI and its tags, URL, and description.

Here you can see what routes the POI is currently part of. If you'd like to remove the POI from one or multiple routes, simply uncheck the box for the route(s) and then click Save.
