Part 2: Event Route Library

Within your Event account, you can set up a route library for each of your individual events. The Route Library allows you to both organize and share event routes with participants. Using the Route Library page, you can add tags for organization and manage route visibility.

When you first set up your Event account, we will happily transfer over existing routes from your personal account or group so that all existing routes and URLs remain intact.

The Event account functions as a stand-alone account, distinct from your personal Ride with GPS account. You can sign in to the Event account to plan and edit event routes, add routes to events, and add tags.

Click Sign into Club.

The top of the menu will turn yellow to signify that you have signed in as the Event account. Only Event account administrators and route managers will ever see this option.

The Route Library

Within the Event account, the member managers can designate certain users  as route managers. Route managers can click Sign into club account (manage routes) to make changes or additions to the route library. The toolbar at the top of the site will turn yellow to signify you are signed in with your Event account. If the toolbar is grey, then you are still signed in with your personal account. While signed in to your Event account, click Sign Out to return to your personal account.

 

 

There are many options for sorting and filtering routes. Click on any of the column headers to sort by the corresponding attribute. Click the column header a second time to reverse the sort order. Use the search boxes and sliders to filter.

 

There are a few ways to add routes to your Event account library.

Copy Routes to Your Event Account Route Library

If you find a route on another account that you would like to add to your library, you can do so from your personal account or while logged into the Event Account:
  1. Bring up the route you want to add to your account library.
  2. In the left side panel, click More > Copy to My Routes. You can optionally change name and permission on the following screen
  3. Select the organization you want to add the route to under the Account dropdown. You will only see this if signed into your personal account.
  4. Click Copy to My Routes to finish.

 

 

Plan Routes From Your Event Account

Administrators and route managers can log in to the Event account and use the route planner to plan routes to be saved directly into the Event account Route Library:

  1. Sign in to the Event account.
  2. Click the Plan link in the yellow menu bar at the top of the screen to open the route planner.
  3. Plan your route and click save.
  4. Your route will be saved into the Event account Route Library.

Save and Transfer Routes to the Event account Library from Route Manager Accounts

Route managers can work on routes from their personal accounts and then save them to the Event account route library. To save a route from a personal account to the Event account while editing a route:

  • Click the Save button in the upper left corner.
  • When the prompt for a route name and more details pops up, go to the drop down list for Account and select your Club Account from the list.
  • Click Save one last time to finish.

 

Save Routes to Events


Route managers are able to save routes to existing events, or create a new event with this route save to the Event Account, all while signed into their personal account. To save a route to an event in the Event Account, follow these steps:

  • Click Save in the upper left corner.
  • When the prompt for a route name and more details pops up, go to the drop down list for Account and select your Event Account from the list.
  • Click Organize in Events, then select which event you'd like to save this route to. If you'd like to create a new event from the save form, click New Event.
  • Click Save one last time to finish.

 

Route Privacy

Routes in the Event account route library can have their own privacy settings. Only route managers can access these options.

  • Public - Anyone including members and non-members can view these routes. Both members and non-members can take advantage of all the signature features for these routes.
  • Event Participants - Only event participants can see these routes and take advantage of the Premium features. Non-participants will not see these routes at all.
  • Route Managers - Only route managers will see these routes. This setting is for routes that are considered works-in-progress or that event organizers don't yet wish to reveal to participants.

 

 

Set Official PDF for Routes

With the organization account, you can set an Official PDF so your riders can download a customized PDF map with a click of a button.
  • Click Print PDF from any of your organization’s route pages

Configure your desired settings and click Set as Official PDF.

Riders will be able to download your Official PDF directly from the event page and from the route page.

To remove your Official PDF settings, click Remove Official PDF.

 

 

Tagging Routes

You can tag your Event account routes to make them easier to sort. To do this:

From the Route Library:

  1. Select the routes you wish to tag.
  2. Click set tags
  3. In the Route Tags field, type in the desired tag or click to show the list of available tags.
  4. After you have typed a tag, press enter to complete the tag. It will appear in a small box.
  5. Repeat these steps to add additional tags to the same route.
  6. Click the add tags button to finish adding the tag to the route or click remove tags to remove the tag from the route.

 

While Saving a Route

You can also add and edit tags on a route while saving the route. Click Show More Options to reveal the tags text box.
After you have added tags, you can further sort your routes by clicking filters. This will allow you to sort by tags, minimum or maximum distance, minimum or maximum elevation, route name, and location. You can add multiple tags to further filter your routes and better organize large route libraries.

Archive Routes

Routes can be archived from the route library. These routes will not be visible to event account members for viewing on the web, or for downloading and navigating on the app. These routes can be added back into the route library for use by members. Only a route manager will have access to these options.
  1. Select the routes you want to archive by clicking the checkboxes adjacent to their names.
  2. Click Archive at the bottom row beneath route table.
  3. View your archived routes by clicking View Archived Routes in upper right.
  4. Routes can be unarchived with these same steps from the View Archived Routes page.

Change Route Location

Route managers can change a route's starting location. This is handy if you want to specify the neighborhood or landmark at the start of the ride instead of the city.

  1. Sign in to the Event account.
  2. Select one or more routes.
  3. Click the Set City  button at the bottom of the list.
  4. Type the city, landmark, neighborhood or other attribute to appear as the start location.

 

Route Locking

Event Account admins are able to lock routes to prevent any changes from being made until the routes are unlocked. Lock routes can not be edited or deleted until they are first unlocked and only admins have the ability to lock or unlock routes.
Locking Routes
  1. Check the boxes to select which routes to lock.
  2. Once selected, click Lock.
  3. Now that the routes are locked, no changes can be made without first unlocking the route.

 

Unlocking Routes
  1. Check the boxes to select which routes to unlock.
  2. Once selected click Unlock.
  3. Now the routes are unlocked and may be modified by club member with Route manager privileges.

 

If viewing a locked route, you’ll see the lock icon prepended to the route name. Note that the Edit option is missing, even while logged in as Route Manager.

Route Changelog

You can view the edit history of all of your individual Event routes, including date and route managers.

  • Sign in to the Event account.
  • View the Route Library.
  • Click on the i icon next to the route you want to view. If the route is locked you will see a lock icon.

 

This will bring up a box listing the edit history for that specific route, in addition to the privacy settings and what events and tags are associated with that route.

Export CSV

Click on Export CSV to download a full list of all your routes, either for individual events or for your entire Event account. This can then be imported into your favorite spreadsheet program.
Open or Import your CSV into your chosen spreadsheet program like Google Spreadsheet, Apple Numbers, or Microsoft Excel.

Route Collections

Route Managers can use collections to organize and share your routes. Using Collections allows you to share a collection of your routes with anyone you choose.

To access Collection, sign into your organization and click Collections from the Event Account navigation bar.
